# Business Continuity and Disaster Recovery: Is Your Business Ready for the Unexpected?

[November 3, 2026](https://blog.rcsprofessional.com/business-continuity-and-disaster-recovery-is-your-business-ready-for-the-unexpected)

What would happen if your business lost access to its systems tomorrow? A cyberattack, power outage, hardware failure, or natural disaster could bring operations to a standstill. For many businesses, even a few hours of downtime can mean lost revenue, frustrated customers, and significant operational challenges.

While no business can predict every disruption, having a plan in place can make all the difference. Business continuity and disaster recovery (BCDR) help organizations prepare for unexpected events, protect critical information, and get back to business as quickly as possible.

What Is Business Continuity and Disaster Recovery?

Business continuity and disaster recovery are closely related strategies designed to keep businesses operating during and after a disruption.

Business continuity focuses on maintaining essential business operations when something goes wrong. This includes identifying critical processes, establishing backup workflows, and ensuring employees can continue working even when normal systems are unavailable.

Disaster recovery focuses specifically on restoring IT infrastructure, systems, applications, and data after an incident. This may involve recovering files from backups, rebuilding servers, restoring cloud environments, or replacing damaged equipment.

Together, these strategies help businesses minimize downtime, protect valuable data, and maintain customer trust.

What Can Disrupt Your Business?

Disasters are not always major events like hurricanes or fires. Many disruptions begin with everyday technology problems that can quickly escalate.

Some common threats include:

Cyberattacks: Ransomware, phishing, and other attacks can lock businesses out of their systems or compromise sensitive information.
Hardware failures: Servers, storage devices, and network equipment can fail unexpectedly.
Power outages: Electrical disruptions can interrupt operations and damage equipment.
Natural disasters: Hurricanes, floods, severe storms, and fires can damage offices and infrastructure.
Human error: Accidental file deletion, misconfigured systems, or incorrect updates can cause significant disruptions.
Cloud and software outages: Even cloud-based services can experience downtime that affects business operations.

Without a recovery plan, businesses may struggle to determine what to do first, who is responsible, and how to restore operations safely.

Why Business Continuity and Disaster Recovery Matter

Downtime affects more than just your IT department. It can impact every part of your organization, from employee productivity to customer relationships.

A strong BCDR strategy helps businesses reduce downtime, protect important data, and maintain operations during unexpected disruptions. It also provides employees with clear instructions and responsibilities when an incident occurs.

For businesses that handle sensitive customer information or operate in regulated industries, having a recovery strategy can also support compliance and risk management efforts.

Most importantly, preparation helps reduce the uncertainty that comes with an unexpected disaster.

5 Steps to Build a Business Continuity and Disaster Recovery Plan

Creating a BCDR plan does not have to be complicated. The key is understanding what your business needs to protect and developing a realistic strategy for recovering those operations.

1\. Identify Your Critical Business Systems
Start by identifying the technology, applications, and processes your business depends on every day.

Consider which systems are essential for communicating with customers, accessing financial records, processing transactions, and completing daily work.

Determine which systems need to be restored first and how long your business can realistically operate without them.

This helps establish priorities and ensures your recovery efforts focus on the areas that matter most.

2\. Establish a Reliable Backup Strategy
Backups are one of the most important components of disaster recovery. However, simply having backups is not enough.

Your business should regularly back up critical files, applications, and systems while ensuring those backups are protected from unauthorized access and cyberattacks.

Consider maintaining multiple backup copies, including an offline or immutable backup that cannot easily be altered or deleted by ransomware.

Cloud backups and off-site storage can also help protect data if your physical office or equipment is damaged.

Remember: A backup is only useful if you can successfully restore it. Regular recovery testing is essential.

3\. Define Recovery Time and Recovery Point Objectives
Two important measurements help businesses establish realistic recovery expectations.

Recovery Time Objective (RTO) is the maximum amount of time your business can afford to have a system unavailable before the disruption becomes unacceptable.

Recovery Point Objective (RPO) is the amount of data your business can afford to lose, measured in time.

For example, if your RTO is four hours, your goal is to restore the affected system within four hours. If your RPO is one hour, your recovery strategy should allow you to restore data from within one hour of the disruption.

These objectives help determine the backup frequency, recovery methods, and resources your business needs.

4\. Create a Communication and Response Plan
During a disaster, employees need to know what to do and who to contact.

Your business continuity plan should identify key decision-makers, emergency contacts, communication channels, and responsibilities.

Consider how employees will communicate if email, phone systems, or office networks become unavailable.

It is also important to establish how customers, vendors, and other stakeholders will be notified if a disruption affects normal business operations.

Keep contact information accessible outside your primary business systems so employees can retrieve it when needed.

5\. Test and Update Your Plan Regularly

Technology changes, employees leave, and business operations evolve. A recovery plan that worked last year may no longer meet your needs.

Regular testing helps identify gaps before an actual disaster occurs.

Conduct recovery exercises, verify that backups can be restored, and confirm that employees understand their responsibilities.

Update your plan whenever your business introduces new systems, changes infrastructure, or modifies critical workflows.

Testing helps turn your recovery plan from a document into a practical strategy your team can rely on.

The Role of Your Managed IT Provider

Developing and maintaining a business continuity and disaster recovery strategy can be challenging, especially for organizations without a dedicated IT department.

A managed IT provider can help assess your infrastructure, identify vulnerabilities, implement backup solutions, and establish recovery procedures that align with your business needs.

An experienced IT partner can also help monitor systems, test backups, document recovery processes, and provide support during an actual disruption.

Rather than waiting until something goes wrong, businesses can work with their IT provider to proactively reduce risks and improve resilience.

Don't Wait Until Disaster Strikes

Business continuity and disaster recovery are not just about recovering from major disasters. They are about protecting your business from the unexpected and ensuring you can continue serving customers when technology fails.

A well-designed plan helps reduce downtime, protect valuable information, and give employees confidence when disruptions occur.

The best time to prepare for a disaster is before it happens.

We're not superhuman, and no matter how hard we try to memorize every talking point or question, we can't work at our best without a little help. Even yet, it appears more impressive, especially on video conversations, if we never have to look away from the camera when interviewing or presenting. Finding a means to glance at both your notes and the video conference at the same time is the solution. We've discovered an app that can assist you with this: It's called Transparent Note, and it's not a play on words.
